The Facilities Administration Officer is responsible for end-to-end coordination of booking process for Council facilities, overseeing and coordination of Council’s cleaning team, and provision of administrative support and coordination for Council housing.
The role is also responsible for maintaining a proactive inspection and maintenance schedule for Council facilities, ensuring assets are regularly monitored and issues are identified and addressed in a timely manner. This includes liaising closely with the Building and Maintenance team to coordinate works, prioritise repairs, and support effective asset management outcomes. Some out-of-hours work and participation in an on-call roster will be required.
The role requires a high level of professionalism, a commitment to high-quality service delivery, and a proactive approach to continuous improvement, ensuring outcomes align with the best interests of Council and the community.
Employment Status: Permanent Fulltime
Award: The position is classified between a Level 4 under the Queensland Local Government Industry (Stream A) Award – State 2017
Salary Range: $82,956.12 - $87,177.48 per annum

The successful candidate will have:
Essential Knowledge, skills and abilities
- Demonstrated commitment to delivering high-quality customer service, with the ability to respond to enquiries professionally, patiently, and effectively across a range of stakeholders including community members, hirers, contractors, and Council staff.
- Highly developed verbal and written communication skills, with the ability to liaise, coordinate, and build effective working relationships with internal teams (including Building and Maintenance) and external stakeholders.
- Sound knowledge of administrative processes, including record keeping, document management, invoicing support, and office procedures, with the ability to manage booking systems, registers, and compliance documentation accurately.
- Proven ability to work autonomously, prioritise tasks, manage competing demands, and meet deadlines, while maintaining a high level of accuracy and attention to detail across bookings, inspections, and maintenance coordination.
- Ability to provide leadership, guidance, and support to operational staff (including cleaning teams), ensuring service standards are met and a positive, accountable team environment is maintained.
- Demonstrated ability to maintain confidentiality and act with integrity, reliability, and professionalism in all aspects of work.
- Capacity to work flexible hours, including outside standard business hours, weekends, public holidays, and participation in on-call or after-hours support as required.

Essential Licences
- Current unrestricted C Class drivers’ licence.
